Five billing models

Vendors bill per seat, per message, per conversation, per automated outcome, or a platform fee plus usage. Each vendor's own definition of the unit decides the bill.

Details

Each of the five billing models tracks a different thing. Per seat charges for each staff login, whatever the software does; ChatBot.com prices its displayed plan per user10. Per message follows how long chats run, so a chatty audience costs more. Per conversation follows how many chats start, and Tidio prices Lyro by AI conversations6. Per automated outcome charges when the AI finishes the job. Intercom bills Fin this way, and plan seat costs may apply on top3. Platform plus usage splits a fixed fee from consumption, as Zendesk does with seats plus extra automated resolutions8. Read how each vendor defines its unit before you compare, because that definition sets what you pay.

Per seatWrite down the price per staff login and how many logins you need. ChatBot.com shows its displayed plan priced per user.
Per messageNote the price per message or message bundle and the allowance. Multiply inquiries by messages per inquiry, since a chatty audience costs more.
Per conversationRecord what counts as one conversation and how many the bundle includes. Tidio prices Lyro this way, by AI conversations.
Per automated outcomeWrite the vendor's definition of an outcome and the charge for each. Intercom bills Fin this way, and plan seat costs may apply on top.
Platform plus usageList the fixed platform fee apart from the usage charge. Zendesk pairs agent seats with a charge for extra automated resolutions.

The inputs that change cost

Eight inputs drive the bill: volume, messages per inquiry, the share the AI may handle, how much it resolves, staff seats, the plan tier you need, overage and setup.

Details

Monthly cost equals the platform fee, plus seats times the seat price, plus usage beyond the allowance, plus setup spread over the months you expect to keep the tool. Usage depends on the unit. Messages equal inquiries times messages per inquiry. Outcomes equal eligible inquiries times the share the AI finishes. Staff time still counts. Someone handling 200 inquiries at four minutes each spends over 13 hours a month on them. The median customer service representative earned $21.53 an hour in May 202514. Wages make up about 70 percent of private employers' hourly compensation cost, and benefits the rest15. Check that the quoted tier has the features you need.

Inquiry volumeWrite down how many inquiries arrive in a normal month and in your busiest one, counting chats, calls and form fills together.
Messages per inquiryRecord the average number of messages a typical chat takes, from a sample of real transcripts if you have them.
Eligible shareNote how many inquiries the AI is allowed to handle at all, after you take out the ones that must go to a person.
Automated outcome ratePut down the share of eligible inquiries you expect the AI to finish alone. Use a figure you can defend, not the vendor's headline.
Human seatsList each staff login the plan needs, including people who only read transcripts or take handoffs.
Required platform tierName the tier that holds the features you need, and confirm the quote is for that tier rather than the entry plan.
OverageWrite the charge or rule that applies past the allowance, and whether the assistant keeps answering or stops.

Normalized example scenarios

See how one month of demand prices out under each billing model for three example businesses. Swap in your own numbers, because no single profile stands for every business.

Details

Picture three businesses, none of them typical of everyone. A small-business website, say a vet clinic or an accountant, gets a few hundred chats a month and has nobody to seat, so the plan fee is most of the bill. A growing support team at a moving company handles long threads about dates and inventory. There, per-message and per-conversation plans split apart: a 20-message chat costs more under one and nothing extra under the other. A help-desk operation at a property manager pays mostly for seats and platform. Its AI line looks small until you check which tier it requires. Run your own numbers through each model. The cheapest choice changes with the shape of your month.

How much does AI customer service cost?

A dated reading of each vendor's public pricing page, with the unit each price attaches to. Prices change, so confirm the figure in the vendor's checkout before you buy.

Details

Every price in this snapshot was read from the vendor's own page on October 20, 2026, and prices change. The unit matters more than the number. Tidio shows Lyro priced by a monthly bundle of AI conversations6. Intercom prices Fin per outcome, and plan seat costs may also apply3. ChatBot.com prices per user, with a lower rate for annual billing10. Zendesk sells per-agent seats that include AI agents and charges for extra automated resolutions8. First AI Employee prices website chat by monthly message allowance1. Allowances, base plans, overage and trials all differ. Confirm the final figure in the vendor's checkout before you buy.

First AI Employee website-chat pricing

First AI Employee sells three website chat plans sized by monthly message allowance. Receptionist plans include a free chat tier, and paid chat plans have no free trial.

Details

Essential: $25

Essential costs $25/month with 5,000 messages1. It stops answering when the month's allowance runs out, so size it to your busiest month, not an average one. Count messages, not visitors. Long back-and-forth chats about quotes or availability use the allowance faster than quick questions about hours. Estimate from real chat logs if you have them. If you also run a First AI Employee receptionist plan, try its free chat tier before you buy this.

Growth: $49

Growth costs $49/month with 15,000 messages and up to 3 locations1. That is three times Essential's messages for less than twice the price, so it can work out cheaper per message once your volume outgrows Essential. Like Essential, it stops answering when the allowance runs out. A property manager with three offices, or an auto shop with branches in nearby towns, fits the location limit.

Scale: $99

Scale costs $99/month with 50,000 messages and unlimited locations1. It is the plan with optional overage, at 1 cent per 12 messages, and that overage is off by default. Turn it on if a busy month must keep answering and a small extra charge is acceptable. Leave it off if a fixed bill matters more. Multi-location groups and sites with heavy chat traffic belong here.

Included chat with voice plans

Every First AI Employee receptionist plan includes a free website chat tier of 1,000 messages a month, which you switch on in the dashboard1. If you already pay for the phone side, turn that on first and buy a chat plan only when you outgrow it. Paid chat plans have no free trial, so your first paid month is a full paid month. Decide beforehand what result would make you keep it.

Cost is not value

A cheap plan that answers wrongly or strands customers costs more than it saves. Weigh correct outcomes, handoffs, repeat contacts, upkeep and risk next to the price.

Details

Price tells you what you pay. Value turns on five other things. Correct outcomes means how many eligible inquiries the AI finished right. Handoff quality is whether a person receives a summary and contact details or a blank transcript. Recontact counts customers who return because the first answer failed, and those returns flatter a high automation rate. Upkeep means someone loads your hours, prices and policies and keeps them current. Then there is risk: one confident wrong answer about a law firm's fees or an HVAC warranty can wipe out the savings. Staff cost money too. In a 2024 Federal Reserve survey, 75% of small employers cited rising costs, including wages13. The median receptionist earned $18.27 an hour in May 2025, before benefits12.

Use the calculator

Enter your own volume, staff time and vendor terms to see a low, base and high monthly cost. Your numbers stay in your browser unless you choose to export them.

Details

Nothing in the calculator is filled in for you, so no vendor or labor figure sneaks into the result. Step through demand, your current operation, the AI scenario and vendor billing, then calculate. For the two assumptions that move the total most, automation rate and recontact share, you enter a low, a base and a high figure. That gives you a range instead of one hopeful number. Your raw inputs stay in your browser and are not sent to analytics. Download the model as JSON or CSV, or print it for a meeting. An optional share link puts every assumption in the URL, so anyone with the link can read them. Change one input at a time.

Frequently asked questions

How much does an AI customer-service chatbot cost?

Entry prices run from low monthly website-chat plans to help-desk subscriptions plus usage. What you really pay depends on messages or conversations, what the plan includes, seats, any platform plan it needs, automated outcomes and overage.

What is outcome-based pricing?

The vendor charges each time its system counts an inquiry as an automated outcome or resolution, by the vendor's own definition. Read that definition, what it leaves out, how you dispute a charge and how long a customer can come back before it counts, then work out your cost.

Is per-message pricing cheaper than per-conversation pricing?

Not by itself. It depends on how many messages each inquiry takes, what the plan includes, overage, how the vendor defines a conversation and how many inquiries end with useful work done. Run the same month of demand through both.

How much is First AI Employee website chat?

Essential is $25/month with 5,000 messages. Growth is $49/month with 15,000 messages and up to 3 locations. Scale is $99/month with 50,000 messages and unlimited locations. Optional overage of 1 cent per 12 messages is off by default. Paid website chat plans have no free trial. Every receptionist plan includes a free website-chat tier of 1,000 answered messages a month, switched on in the dashboard. Check the official pricing page before you buy.

Does the cheapest plan include every feature?

Not always. Compare the sources it can learn from, the actions it can take, handoff to a person, locations, reporting, any base plan it needs, setup work and overage, not just the entry price.
